Introduction
Put yourself up for election to serve on the Regs Committee for next year! We’re looking for motivated students who want to make a positive impact on hall life for the year ahead.
Positions will be elected using a Single Transferable Vote (ranked voting) system, so there is no need to not apply in fear of a friend or someone “more popular” getting the job. If you wish to apply for a second role, submit two applications and you will be allocated the top position you win. There’s no reason not to go for a position you want.
Roles can be applied for by any resident who has lived for more than one semester in Regs and will be living in Regs next academic year. However, the Senior Student role does have a limitation as per the hall Constitution (not our arbitrary rules!) that any nominees must have served on a Regs Committee already.
First Year Rep and Sports Rep are elected in September.
Nominate yourself at https://forms.office.com/e/LCDQ81ck8Q. Nominations will close on Wednesday 29th March at 11:59pm.
Role descriptions
Senior Student
The big one! The Senior Student is the chairperson of the committee and has ultimate responsibility for the coordination and delegation of committee activity. They will liaise between the committee and the Residence Managers, wardens, Union Accommodation Subcommittee and Halls Life team, attending Senior Student Forums and Residential Experience Meetings. They are not the president – anything can be put down to a vote – but the Senior Student does have a casting vote in the case of a tie. A creative and proactive Senior Student has the ability to make a real, lasting impact on the committee and hall.
Treasurer
If you’ve got a thing for Excel, this might be the job for you. The Treasurer is responsible for the Committee’s financial comings and goings. They will produce a budget at the start of the year including all planned events, and keep it up to date through the year at all times. They are required to maintain records of income and expenditure also to be produced on-demand, reimburse Committee members for any expenditure and maintain responsibility for the Committee cash box. You’re spending your fellow residents’ money, so this is essential to get right.
Secretary
Like writing? The Secretary will take minutes at Committee meetings, file them, and publish them. They will liaise with the Senior Student to circulate an agenda prior to Committee meetings. They will facilitate communication between the Hall and the Committee. They organise the annual hall photo and are responsible for ensuring it is hung on the wall. Historically, they have also held the power to open the library at their discretion… though good luck finding a key today. They will maintain the Committee email account and respond to any enquiries.
Events Coordinator
Regs parties have a reputation of their own, and we’d like that reputation to be maintained. The Events Coordinator is responsible for social events in Regs. They will liaise with external societies and organisations looking to host events in Hall, and are responsible for booking any external venues, submitting risk assessments and suggesting event themes. They will ensure the status of the Regs’ Party is upheld, sufficient alcohol is purchased and the bar is staffed, and will be responsible for the party decorations, lights, and drinks dispensers.
Wellbeing Representatives (Male + Female)
The Wellbeing Representatives will be responsible for making residents feel more comfortable. They may facilitate activities that include but are not limited to mental health workshops, yoga classes, art classes, etc. They will be responsible for promoting sexual health in hall, and the acquisition of condoms from the Students Association. They will receive relevant training from NHS Fife.
Charities Representative
The role of Charities Representative has been reduced through the years as charitable endeavours become increasingly centred through the Students Association. However, the Charities Representative still has a role to play in the hall. They will be responsible for coordinating any charitable events, and working with the Association Charities Committee, charitable societies, and external bodies. They also have responsibility for procuring hall clothing.
Environmental Representative
The Environmental Representative is responsible for minimising the Hall’s impact on the environment. They will engage with any inter-hall or university environment competitions and work with the Association Environment Subcommittee. They are also encouraged to take care of the hall garden and hold related events.
Marketing Representative
“I didn’t know, no one reads Facebook!” New for this year, the Marketing Representative will take responsibility for maintaining the hall’s social media platforms – including (but potentially not limited to) Facebook and Instagram – as well as the hall website. They will advertise internal events within the hall – including posting on the private Facebook page and publishing posters and graphics – and advertise the hall on public-facing platforms.
Footnote
It’s important to remember that a Committee member’s role isn’t limited to their job description. As a team in one of the smallest halls, the Committee only works when everyone supports each other. No one’s got “serving the alcohol” in their role requirements – be proactive, make suggestions and get stuck in!
